Personal data processing policy
1. General
This policy explains how personal data is processed on the site “Vestnik of the Russian New University” (https://vestnik-rosnou.ru/).
The personal data operator is Autonomous Non-Profit Organization of Higher Education “Russian New University” (RosNOU).
2. What data is processed
When an author submits an article through the form on this site, the following is processed:
- last name, first name, and patronymic;
- email address;
- cover letter;
- the selected journal and, if the journal has series, the selected series;
- submission files: the article text, author forms, photographs, reviews, and other materials listed in the instructions. The files may contain personal data of the author and co-authors;
- the consent mark and the time the submission was sent;
- the IP address from which the submission was sent.
The form uses a technical session cookie and a language cookie. The form does not ask for passport details, a phone number, or payment data.
3. Why the data is processed
The data is needed to receive a publication submission, contact the author at the email provided, pass the materials to the editorial office of the selected journal, and keep the submission while it is being reviewed.
4. Legal basis
The basis is the author’s consent, given by checking the box on the submission form. The author confirms that they have read this policy, that they may provide their own data and the co-authors’ data contained in the attached files, and that they agree to processing for the purposes above.
5. Who receives the data
The submission is stored on the server of the site “Vestnik of the Russian New University”. A message with the author’s details, the cover letter, and a link to the file archive is sent to the addresses the editorial office has set for the selected journal. In the admin panel the submission is visible to staff assigned to that journal.
The data is not sold and is not used for advertising mailings. Any other disclosure happens only where the law expressly requires it.
6. How long the data is kept
The submission and files are kept while the editorial office reviews the material and until the record is deleted. At the author’s request, processing stops and the data is deleted when keeping it is no longer needed for the review or required by law.
7. The author’s rights
The author may ask for information about the processing, for a correction, or for deletion. The request should be sent from the email given in the submission to the editorial office of the site “Vestnik of the Russian New University”. It helps to include the last name and the approximate date of submission so the record can be found.
8. How the data is protected
Only staff of the relevant journal’s editorial office can open submissions. Submission files are not published on the open site. The archive link in the editorial email is secret and is not listed separately on the site.
